Getting Started & Setup
Everything you need to configure and start using ReplyRadar.
ReplyRadar is an intelligent email assistant that sits in your CC line. When you email someone and want to ensure they reply, you CC our assistant. If they don't reply within your set timeframe, we draft a context-aware follow-up for you to review and send.
No. ReplyRadar works entirely through the CC line (assistant@replyradar.com). There are no extensions to install, no plugins to configure, and no new apps to download.
Yes, ReplyRadar works perfectly with Gmail, Google Workspace, and any email client that allows you to CC an email address.
Yes! Because ReplyRadar operates at the email protocol level via the CC line, it doesn't matter what client you use. As long as you can send an email and add a CC, it works.
Click 'Get Started' on our homepage, enter the primary email address you will be sending emails from, verify your email, and you're immediately ready to go.
Currently, one ReplyRadar account is tied to one primary sending email address to ensure accurate tracking and draft routing. You'll need separate accounts for different email aliases.
We need to ensure that when an email arrives at our assistant address, we map it back to the correct user. Verifying your email proves ownership of the sender address.
No! We never ask for your email password, OAuth complete inbox access, or IMAP credentials. We only read what you explicitly send to us.
Once you sign up, you'll be instructed to CC `assistant@replyradar.com` on the threads you want to track.
Currently, you must CC the assistant. This allows us to stay on the thread if the recipient hits 'Reply All'. If you BCC us, the recipient's reply won't include us, meaning we won't know they replied.
How It Works & The AI
Understanding follow-ups, tracking, and how our language models draft your emails.
When you CC us, we parse your outgoing email. We note the recipient, the subject, the time sent, and the content. We then start a timer based on your default interval setting.
We use advanced Large Language Models (LLMs) that read your original email. The AI determines the tone (casual, formal, urgent) and the core 'ask' of your email, then crafts a short, polite nudge mimicking your style.
No. We've spent countless hours tuning our prompts. The drafted emails are designed to be extremely concise—often just one or two sentences—sounding exactly like a busy professional sending a quick ping.
No. By default, we draft the email and put it in a 'Requires Review' state on your dashboard. You click 'Approve' to authorize the send. This keeps a human in the loop at all times.
If they 'Reply All' (which includes our CC address), we instantly detect the reply and cancel the scheduled follow-up. You don't have to lift a finger.
If they drop our assistant from the CC line, we won't see the reply. You can simply go to your dashboard and mark that specific thread as 'Replied' to cancel the pending draft.
Yes, you can configure your default intervals in the Settings. We support multi-stage sequences like waiting 2 days for the first ping, then 4 days for the second.
Our default multi-stage system attempts up to 3 follow-ups before giving up, but you can configure this down to just 1 or 2 attempts in your settings.
Absolutely. In your dashboard, click 'Edit' next to the draft. You can rewrite the entire thing or tweak a few words before hitting 'Approve'.
Approved follow-ups are routed immediately, or you can configure preferred sending windows (e.g., 9 AM - 5 PM their local time) if you are on our premium tiers.
Features & Capabilities
Deep dive into what ReplyRadar can do.
Yes. From your dashboard, you can pause or completely cancel any active sequence for any recipient.
We intentionally do not include spy pixels or link trackers. We believe in respectful, high-deliverability text emails. Tracking pixels often trigger spam filters.
The system tracks the primary recipient ('To' field). If anyone on the thread replies, the entire sequence is paused.
ReplyRadar is designed for warm follow-ups, active deal flow, and relationship management. It is not designed to be a mass cold-emailing tool (which require CSV uploads and variable mapping).
The LLM does not read or analyze attachments for privacy reasons. It only reads the plain text body of your email to generate the draft.
Currently, our AI is aggressively optimized for English follow-ups. While it may attempt other languages, we only officially support English at this time.
Yes! In your 'Agent Profile' settings, you can add custom instructions. For example, you can tell it: 'Always use emojis' or 'Never say Best Regards, always say Cheers'.
Yes, your dashboard contains a complete history of active threads, completed sequences, and manually cancelled threads.
If the initial email bounces, we detect the failure response (if you CC'd us) and immediately mark the thread as 'Bounced', cancelling any future drafts.
There are no limits on tracking. You can CC us on an unlimited number of emails. You are only constrained by the number of credits you have for generating the drafts.
Pricing & Billing
Everything related to credits, tiers, refunds, and trials.
Yes! Every new account gets 10 free credits to test the system. No credit card is required to sign up.
One credit equals one generated AI follow-up draft. Tracking emails is completely free. We only charge a credit when the system successfully generates a draft for you.
No. Credits are yours forever. They roll over infinitely until you use them.
No. We do not use subscriptions. You just buy bundles of credits when you run low.
We offer three tiers: $10 for 100 credits, $25 for 300 credits, and $50 for 750 credits.
No. Editing a draft manually does not cost another credit. Regenerating an entirely new AI draft via our 'Regenerate' button does use a credit.
We will still track your emails, but the system will pause generating new drafts. You'll receive an email notification that your balance is empty.
Yes, all payments are processed securely through Stripe. We do not store your credit card data on our servers.
We offer a 14-day no-questions-asked refund policy for unused credits on your most recent purchase.
Currently, we cater to individuals (solopreneurs, freelancers, founders). If you have a massive team, contact support and we can discuss bulk credit allocation.
Privacy & Data Security
How we protect your inbox, your data, and your clients.
Absolutely not. Because we don't use OAuth to connect to your entire inbox, it is technically impossible for us to read any email unless you explicitly CC or BCC our assistant address.
We store the sender address, recipient address, timestamp, subject line, and the body text of the specific email thread you CC us on. This is required to generate the follow-up draft.
Never. Your data is your property. We make money by selling credits, not by selling your information.
No. While we use OpenAI/Anthropic APIs to generate the drafts, we have Enterprise agreements in place ensuring your specific payload data is NOT used for model training.
Your data is stored securely in US-based data centers utilizing industry-standard at-rest and in-transit encryption (AES-256 and TLS).
Only you. Support staff cannot look at your specific email contents unless you grant explicit written permission during a troubleshooting ticket.
You can securely delete your account from the Settings tab. This executes a hard delete of all your personal data, past threads, and drafts from our database.
Once a sequence ends (either by reply or timeout), the thread metadata is kept for your historical dashboard view, but you can manually purge it at any point.
We are continually auditing our systems to align with GDPR data processing and right-to-be-forgotten doctrines.
While highly improbable due to strict security measures, in the event of a breach, we follow standard rapid-disclosure protocols to notify all users via email within 24 hours.
Troubleshooting & Edge Cases
Fixing common workflow issues and tracking bugs.
The most common reason for this is sending from an email address that isn't registered to your account. E.g., You signed up with 'john@company.com' but sent the email from 'john.doe@company.com'. Check your active sending address in settings.
This happens if the recipient clicked 'Reply' instead of 'Reply All', which dropped our assistant from the thread. Without being CC'd on the response, our system thinks they haven't replied. You can cancel the draft manually in the dashboard.
While rare, hallucinations happen. If the tone is off, click 'Edit' to fix it, or try adding custom Style Instructions in your Agent Profile to give the LLM better guardrails.
Ensure you are typing `assistant@replyradar.com` correctly. If the email is correct, your email provider (like strictly configured enterprise servers) might be blocking external CCs.
We never send immediate automated replies. If you got an instant response, it's likely a bounce-back from your mail server, or an auto-responder from the recipient's inbox.
Approvals are processed by our cron jobs which run every 5 minutes. Give it a few moments for the queue to process.
Our system currently supports plain text parsing. If your original email had complex HTML tables or inline images, the AI might misinterpret the visual spacing.
If a thread was broken (e.g. they didn't Reply All), you can't retroactively inject the assistant back into the past. Just ensure you CC us on your next manual reply to start a fresh sequence.
Deleted threads cannot be recovered. You will need to wait for a reply, or send a new email and CC the assistant to start tracking again.
